Terms and Conditions

  • Terms and Conditions
  1. As independent clinicians, we reserve the right to decline a referral where we feel necessary.
  2. Any agreement to accept a referral is based on our capacity at the time of referral. We cannot guarantee that waiting times or acceptance criteria will remain the same if the referral is delayed.
  3. We do not guarantee that our assessment will recommend a diagnosis of autism, however, whatever the outcome, you will gain a profile of the individual’s strengths and areas of need.
  4. Our independent reports are often ‘accepted’ by bodies such as schools, Local Authorities, LEAs and NHS Trusts. However, it is the responsibility of the client to check this applies in their area as this could theoretically vary according to local factors.
  5. An initial consultation appointment may be offered to clients in their home or clinic at a cost of £325 if requested. This can enable the client and family/carers to discuss concerns, to provide some background information and for us to discuss whether there is enough evidence to decide whether a full assessment is appropriate. Initial consultations in clinic will be time-limited to one hour. No assessment takes place at this initial consultation – it serves as an opportunity to discuss whether to proceed. Nb the availability of a home visit will depend on the client’s location.
  6. Initial consultation appointments are secured with a deposit of £50 with the balance due on the day of the appointment.
  7. After any such initial consultation, if we feel that there is not enough evidence to proceed with the full assessment, we reserve the right to advise that assessment is not warranted. Equally, there is no obligation on the client’s part to continue, even if we recommend that they do so.
  8. Any initial consultation fee is non-refundable in the event that a decision is taken not to proceed with full assessment. Similarly, this fee is not deductible from the cost of any subsequent full assessment.
  9. We will not recommend any assessment, diagnosis or intervention unless we believe that this is the appropriate course of action for the person involved. We work with honesty and integrity.
  10. After any such consultation, if there is evidence to suggest that a full autism assessment would be helpful, the information and evidence collected in the initial consultation would form part of the full assessment.
  11. The total cost of any services would be provided in writing in advance of any appointment with clinicians from Spectrum North West. There will be no change to this cost unless additional services are commissioned.
  12. The cost of each assessment is calculated by taking into account the specific assessment tools required; the amount of time required for the assessment and report; booking of any venue and any travel costs incurred.
  13. Clients will not be charged for travel/mileage within a twenty mile radius of Warrington, Cheshire.
  14. Assessment will always include the use of standardised assessment tools, clinical interview and observation. We may recommend other assessments that will give more detailed information. Prices for different options will be given at the outset.
  15. Where possible, assessment would take place in a client’s home, solicitor’s office, place of employment, clinic and/or other suitable venue depending on the needs of the client.
  16. Upon booking an assessment appointment, a deposit of £200 is payable. This reserves the appointment and is non refundable. Regrettably, we cannot ‘hold’ a date without a deposit.
  17. Final payment for private clients should be paid in full by BACS transfer at least 48 hours prior to the first appointment.

– Payment for medico-legal work (i.e. insurance companies/solicitors) would be strictly within 28 days of receipt of invoice.

  1. We do not routinely communicate by text message unless specifically arranged. Clients sending texts messages to the Spectrum telephone cannot be guaranteed a timely response, as this phone is not always switched on.
  2. Where telephone interviews are included in the assessment, we will bear the cost of calls to a landline telephone but additional charges will be incurred for calls to mobile phones. Charges will depend on BT rates according to the phone number supplied but can typically be in the region of 11p per minute. A 2-hour plus consultation can therefore incur an additional charge in excess of £13, which will be added to the cost of assessment.
  3. Where unforeseen circumstances mean that a full assessment could not be completed (e.g. engagement of various parties/ unexpected illness) we would confirm a reduced fee for the work carried out to date and refund any payment due.
  4. Cancellation (without re-booking) within the 14 days prior to the appointment date will incur a fee of 50% of the agreed price unless we have been able to allocate your appointment to another client.
  5. If postponement is made due to unforeseen circumstances (eg illness, travel disruption on the part of the client) then the appointment will be rescheduled providing that we are satisfied that the reason is genuine, however any costs incurred by the clinician (eg consulting room rental) is payable by the client. Where possible, we would seek to cancel the hire of consulting rooms without cost, however there could be a cancellation charge – this is typically in the region of £60. Receipts would be provided in these circumstances.
  6. In the case of 21 (above) then we will seek to rearrange your appointment.
  7. We cannot accept a second postponement of any appointment and will treat this as a cancellation unless we are satisfied that there are exceptional circumstances.
  8. Where clinicians are forced to cancel an appointment, as much notice as possible will be given and the appointment will be rescheduled at the earliest opportunity. In this case, there would be no additional cost to the client, and any costs incurred would be borne by the clinicians.
  9. We are happy to work alongside existing services with the client’s consent, eg NHS or schools.
  10. All assessment would be strictly confidential. However, in the case of any safeguarding concerns, we would advise the client of this and discuss how to proceed.
  11. Any notes kept will be stored securely by the clinicians and will be destroyed after a period of five years.
  12. Any video taping of assessments will normally be erased after the report has been completed.
  13. By agreeing to our terms and conditions, you are agreeing to the videotaping of the ADOS session. This is erased as soon as the report has been agreed.
  14. At the end of the assessment process, a draft report, including recommendations, will be sent to the client. In addition there will be opportunity to ask questions, and to clarify and make amendments to the report if it contains any factual inaccuracy. However, the report must remain the work and opinion of the clinicians involved, and though we will take on board comments, we will not make claims or comments that we cannot substantiate from our own observation.
  15. Following circulation of a draft report, our clinicians will make any reasonable amendments and a second copy will be printed. This second copy is the final version.
  16. The scope of our service is limited to assessment and diagnosis. We often make recommendations at the end of our reports, however:
  17. Our recommendations will be broad and are not intended to replace intervention. Our primary purpose is to diagnose the presence or absence of autism and to signpost our clients if required. The diagnostic report may give recommendations designed to help and improve the well being of the client but these are not intended to be exhaustive and clients or carers may wish to seek further professional support in addressing issues highlighted during the diagnostic process.
  18. Our involvement ends when the final report has been completed, though we are happy to answer any queries about our work. We do not offer follow-up intervention unless agreed separately. We recommend that clients and/or carers and parents seek post-diagnostic support as appropriate. This may include help to come to terms with any diagnosis that is given.
  1. Clients will sign to confirm they have read and agree to the terms and conditions in advance of any appointments.
